A simple, dated approval, not a qualified e-signature
A variation is never discussed only once
On a house build, a variation rarely starts in an office. It starts at a site visit, when the buyer notices the patio door would be better moved, or on a call to the site manager one evening. It is then priced, reworded, sent back by email, and returned by text with a "yes, that works for me" and nothing more.
At handover the question comes back: which plan was the approval given on, by which of the two buyers, before or after the change? The site manager has one version, the sales assistant another, and the couple remembers it differently.
Plans, contract, variations: one mechanism
A building folder calls for several, and they are not alike: the plans as they will go in with the planning application, the construction contract before the signing date, then each variation during the works. The templates Kolinea provides cover these three moments, with seven days to answer.
You submit the item: the plan, the contract, the attached variation. Each buyer reads it in the folder, from their phone and without an account, then accepts or refuses. A refusal always comes with its reason: you know what is blocking, and you never again find a bare "no" at the bottom of a thread.
What is left after handover
An acceptance records what was submitted: the title and the document as they stood at that moment, with the date, the name and the side of the person who answered. It cannot be edited. If the variation changes, you submit a new one; the old one stays what it was.
When two buyers are asked, each answers for themselves. The approval is complete only once both have answered, and you can see at any moment which one is still missing. Only the professional issues an approval request: a buyer cannot submit one in your place.
The contract is still signed as before
The approval is simple, dated and named, with no value as a qualified electronic signature. It does not replace the signature of the contract, which remains whatever your practice and the law require. It covers everything around it: the plan approved before the application, the variation accepted between two visits, the date chosen for signing.
