Sign-off

The engagement letter accepted, dated, in each person’s name

Submit the engagement letter, then your recommendations. Each spouse accepts or declines from their phone, and the answer stays dated.

  • Couple or partners, each one answers
  • Acceptance dated and in their name
  • Locked and sealed, with a PDF attestation checkable without an account

Replaces: An "ok" on WhatsApp · An email nobody answers

A simple, dated approval, not a qualified e-signature

To get a recommendation approved by the client, a wealth adviser submits it in Kolinea as a sign-off: each named client accepts or declines in their own name, from their link, and their answer keeps the date, the time, their name and the document they had in front of them. For a couple, the approval is complete only once both have accepted.

When approval is a quick "fine, go ahead"

A wealth review needs several approvals: the engagement letter at the start, the recommendations once the review is done, sometimes a suitability statement or a note on the chosen direction. Each one is given in a few words, on the phone or in reply to an email, and each is hard to find again. When someone later asks what the couple had accepted, and whether both had, the answer sits in an inbox.

One sign-off per client

You write the subject out in full, "Approval of the 2026 review recommendations", attach the PDF and name both members of the couple. Each replies for themselves, from their own link, without an account. The approval stays "pending" until both have answered, becomes "approved" once both have accepted, and turns "refused" the moment one of them refuses.

Before confirming, each person re-reads the subject and is told the approval is final. A refusal can say why, but the field is optional. If you set it for your workspace, a client without an account confirms their approval with a code received by email.

What the "Annual review" template prepares

The "Annual review" template prepares "Approval of the recommendations", due in ten days: "Here are my recommendations for … Please give your approval below before I put them into effect." The subject is pre-written: "Annual review recommendations — …". The engagement letter and the suitability statement are not in it; you submit them the same way, writing the subject yourself. The due date, which is optional, triggers the automatic reminders.

What remains once the approval is given

An acceptance can no longer be edited: it keeps the date, the time, the person, the subject and the fingerprint of the document as it was. If the recommendations change, you submit a new version; the earlier one stays tied to what the clients had accepted.

Your firm can download the PDF attestation. Each answer in it carries a digital seal, and the file can be checked without an account: the client, or anyone holding it, drops it on Verify a document, and the page says whether it is the file Kolinea issued.

What Kolinea does not say

Kolinea does not say what your regulations expect of an engagement letter, a suitability statement or a recommendation: the wording, the information to give, the form. It keeps who accepted which text, and when. It is neither an advanced electronic signature nor a qualified one under the eIDAS regulation: whatever your practice requires of a signature happens elsewhere. A sign-off also goes one way only, towards the client.

For real, in the Marchand folder

In the trial folder, the engagement letter, "Lettre de mission — bilan patrimonial annuel", is attached as a PDF. Valérie Marchand accepts it, then Olivier Marchand the next day. The 2026 review recommendations are still waiting for Olivier: Valérie has accepted, the folder says so, and the approval stays "pending". The trial folder is in French.
