A simple, dated approval, not a qualified e-signature
The extra nobody really accepted
A renovation is negotiated as you walk through it. The client sees the open wall, learns the wiring needs redoing, adds a socket while they are at it, hesitates over the tiles. You answer on the spot, often by phone, promising to send the additional quote. It goes out that evening; the reply comes three days later, in a text that says "fine by me".
At invoicing, the client is surprised by a line. You believe they are acting in good faith, and so do they, yet you have to dig through two messaging apps to establish who said what.
The quote submitted as an object
Here you attach the quote to the job's folder and submit it to the client. They read it on their phone, with no account to create, and accept or refuse. If they refuse, they say why: "too expensive for the tiles we chose" tells you more than silence. The "Quote approval" template Kolinea provides allows seven days to answer.

One approval per change
As soon as a quote moves, it is no longer the same quote. You submit the new one, like a variation, without overwriting the old: each answer stays tied to the version it applies to. A client cannot have approved one figure and pay another without the record showing it.
The answer carries a date and the person's name, and it cannot be edited afterwards. When a couple is asked, each answers for themselves, and the approval is complete once both have.
A reminder that stops at the answer
A quote left sitting holds up the job. With a due date set, automatic reminders go out two days before the due date, on the day, the day after, then seven days later, and stop as soon as the client has answered. You do not chase by hand, and you stop waiting for a word that never comes.
A simple, dated, named approval
It is a simple, dated, named approval, with no value as a qualified electronic signature. It keeps the memory of an agreement given during the works; it does not replace what your contract or your insurer require elsewhere.
