A client fills in the custom fields of a folder opened for a professional

Before the handover, the client sees and fills in the folder’s fields, copies their workspace’s groups into it and adds their own. The groups follow the folder when the professional takes it over; without the right plan, the settings show the feature at work.

Each participant’s card shows what they see and what is waiting on them

A person’s card says in one line what they see of the folder and how many requests are waiting on them. “Write” and “Edit my card” sit on it, and the card can be downloaded or shared as a .vcf file.

“My card”: your details, entered once and shared as you decide

You enter your name in two parts and your details once, then pick which workspaces see them, or give a workspace its own value. You can stop sharing at any time.

A client uses their workspace’s templates in a folder

A client who belongs to a workspace can now pick from that workspace’s templates when writing in a folder. The template shows what is left to fill in and what it leaves out; the client only picks from the workspace they are signed in to.

When a folder closes, every participant is told by e-mail

Every contact with access now gets an e-mail saying the folder is closed: it stays readable, or their limited access ends. Nothing is sent to the person who closed it, nor on reopening.

  • Clicking the thumbnail opens the map large in a centred window, no longer in a panel squeezed beside the page. « Open with… » sits at the top right of the thumbnail to head straight for the route.

  • Instead of a bare « Awaiting take-over », the row names the professional (or shows « Professional not named ») and says where the client stands: account to create, link declined, link to send, sent or opened, and when. A folder with nothing posted yet takes the link’s last move as its latest activity.

  • The sheet slides over the dimmed page, with a handle: drag it down to close, or tap the page behind. The draft is kept, and the page no longer scrolls under the keyboard. The help button steps aside while the sheet is open.

  • When a feature of a higher plan is refused (templates, custom fields, statistics), a short animated preview shows what it brings. On templates, the “New” button stays where it is, marked with the plan, and opens that preview instead of a banner.

  • Short options (“Yes”, “Tuesday”) stay on one row; as soon as one is a phrase, they stack. An empty or duplicate option gets its own message, and the panel closes on a click outside.

  • The list flags a folder waiting for its professional with a badge, shows a dash for empty cells and hides empty chase views. When creating, “For me” or “For someone else” is chosen on two cards, and each step puts the cursor in its first field.

  • Each subject says what is waiting, who wrote or what changed, instead of a generic “Something new”. Requests, documents and approvals are listed as rows, the reminder names who is waiting for your answer, and every e-mail carries a single help line. In Gmail’s dark mode, the main button keeps its colour and its white label.

Fixes

  • The folder filter, the template variables, the transfer screens and the folder-templates sheet still said « organisation » or « company ». They now say « workspace », like the rest of the app.

  • Messages, the help button and the « ↑ » arrow sit above the writing bar instead of covering it, and no empty second bar is left behind. In the thread, a post’s faces and its « … » menu stay level with their author, and the breadcrumb holds on one line.

Week of 5 October

6 features · 16 improvements · 4 fixes

A guided tour of the folder on first visit, and “First steps”

On a first visit to a folder, a guided tour walks through the screen from the team’s or the contact’s side. It plays once, waits for an open dialog to close, and can be replayed from the “…” menu. “First steps” ticks three first gestures as you go.

A client brings a spouse or someone close into the folder themselves

A contact with full access invites someone from the folder’s people: name, address, role and a note to the responsible. The responsible answers in a single dialog, choosing the access; the workspace can also let contacts invite directly. The person let in gets their own link.

A professional sees the real folder before taking it over

The link now opens the real folder, read-only and live, with a card to take it over. A professional can also say the link is not meant for them, and the client is asked to check the address. The client records how the link was passed on, revises the names and the subject, and can start from a template; the welcome e-mail follows the path each person arrived by.

Hand a folder to any workspace member, and leave the one you pass on

Any workspace member can take a folder over, whether they are already on it or not, from the list of people or the folder panel. The previous person in charge can leave it in the same move: they lose access, and the thread keeps naming them. Role, link, restricted view and removal are managed from each person’s card.

Templates now keep appointments, milestones and places

A template can now hold an appointment, a milestone or a place; their dates are recounted from the day you use the template. A place’s exact address is encrypted. A folder template no longer needs a publication to exist, and the « Write a publication » button opens the template editor directly.

  • Admissions, invitations, access, pictures, a deleted contact and every step of the handover now update the tabs already open on the folder. The professional the folder is waiting for appears in the side panel as responsible, with an “Awaiting” badge.

  • A contact’s picture is looked up on Gravatar and Libravatar from their address, then refreshed daily. It is erased with the contact, and the choice of an account that refuses these services is respected.

  • Settings headers wrap on a phone and the quota table follows the width of its card. The usage and subscription pages use the menu’s labels, and the seats counter explains, in a tooltip, that pending invitations count.

  • The thread filters on “to do”, “waiting” or “overdue”, seen from your side and counted like the side panel. A shortcut narrows the thread and brings the first item to act on into view.

  • Every owner or administrator has their own calendar address for the whole workspace; it stops working if they leave the workspace or are no longer an administrator. Optionally, slots still on offer are added as tentative events, only on the side that offered them. Each event carries the appointment’s title and the folder’s name.

  • An appointment can carry a title (“Handover of works”); without one, the place names it. The “+ Add” menu lists every type with a line of help, and “Templates” says what each template asks for.

  • The sign-in code mail offers to create an account when the address has none yet, and explains why you receive it. When an account was prepared for you, the terms acceptance says so and by whom.

  • Messages, comments, document requests, templates and voice notes follow the same limits. The browser refuses a file that is too large or unsupported before sending it, and large files from a phone get more time to arrive.

  • Instead of a full-screen wizard, a small window you can dismiss asks for your name and your workspace’s, both prefilled. Once, and that’s it.

  • The three pages now follow the same order: the « New… » button in the header, tabs, a filter bar with search, then the table. The « … » menus and empty-list messages are the same everywhere, and « New folder » stands out at once.

  • Enter your address: a single e-mail goes out, with the code first and the link below, and the screen waits for the code. It works even when you read the mail on your phone while signing in on a computer. Within a flow, sign-in opens in the usual window and keeps you where you were.

  • Under the navigation, a section carries your workspace’s name: members with their count, the subscription for those who can manage it, and a gear for every setting. The lone button at the foot of the bar goes.

  • Hovering a recent folder shows a card: the person responsible, who holds the folder, how many requests are waiting, how many are late and when it last moved. The workspace name only appears when you have several to tell apart.

  • Every window and panel now shares the same header (icon, title, one line of help), the same widths and actions in the same place. On a phone, windows open as a sheet.

  • The client creates an account with a six-digit code typed in place, with no link taking them elsewhere. A card shows them the sending, the opening and the take-over as they happen, and they can fix the subject, the description or the professional’s name until someone takes the folder over. The client no longer ends up as the professional of a folder they opened for someone else.

  • The subscribe panel leads with the calendars, and the feed address folds away. A folder with no date shows a single empty message instead of several.

  • A draft you had emptied came back on the next load: it is now properly deleted. The publish menu reads “Post the message as…”.

  • The reminder sent to a French-speaking client no longer slips into English when the professional was never named: it says “your professional”. The e-mail that brings the link no longer hints at a paid plan and says that taking the folder over costs nothing.

  • In production, the charts on the Statistics page were all drawn in the text colour. Each series has its own colour again.

  • The contact cards of a folder could disappear after the page refreshed, with no error. They now stay in place.

Week of 28 September

8 features

Setting an appointment without the back-and-forth

You offer several slots: your client picks one or asks for others, and the confirmation goes out with the calendar invitation. An address can be shared exactly or approximately, on a map.

Your recurring folders, prepared in advance

A template holds the requests, approvals and decisions of a type of folder, with due dates counted from the day you use it. Templates for each trade are provided; your own templates come with Premium.

Try a real folder before creating your account

From your trade’s example folder, you open a copy that is yours alone for 24 hours: you write, request and approve, with no account and without any message going out.

Every document seen only by those who should see it

Internal notes stay within your team, and a confidential document is read only by the team and the participants it names. A log shows who looked at what.

A document request, one line per expected document

You list what you need: your client drops each document on its own line, and you accept it or decline it with the reason. You write the request like an e-mail, and your client gets it point by point, with a due date.

Every participant gets the access you give them

You add tradespeople, the bank or a co-buyer to a folder, with full or limited access: with limited access, a person only reads what names or mentions them. Your folders are shared with your team too.

Exporting a folder: the thread as a PDF, and its documents

You prepare an archive: the thread as a PDF, the original documents, or only what the participants read, over a chosen period if needed. An e-mail tells you when the archive is ready.

Your client comes in through a link, with no account to create

Each person gets their own link, confirmed by a code sent by e-mail on every new device, and you remove an access in one click. For a client without e-mail, you hand over a single-use link, to open within 24 hours, with a 6-digit code.

Week of 21 September

5 features

Automatic reminders that stop as soon as the request is handled

Two days before the due date, on the day, the day after, then seven days later: reminders go out without you, and nothing more is sent once the request is handled.

Knowing who has to act, without searching

What waits for you on one side, what your clients owe you on the other, and delays stand out on their own.

Grouped notifications, and a “For me” tab

Repeated notifications group into a single line, and the “For me” tab gathers mentions and what is addressed to you.

The folder thread, where nothing gets lost

Every folder has its thread, which you and your clients read and add to. You write, reply, leave a voice note and mention the person concerned.

Kolinea installs on your phone’s home screen

You add Kolinea to your phone’s home screen, with its icon, and open it like an app.

We are preparing a dedicated page and will e-mail you as soon as it is online

Trade
Your e-mail

Your address is only used to let you know when the page is online. It will be erased 48 hours after that e-mail is sent, or after a year if the page has not been created by then.
