What lands in your inbox stays in your inbox

The notary, the bank or a supplier writes to you, not to the folder. Without this feature, their e-mail stays in your mailbox, and you have to copy it into the folder yourself, attachments included.

With it, you forward it to the folder’s address, as you would to any colleague.

One address per folder, yours alone

In the folder’s “…” menu, “Forward an e-mail here” gives your address for this folder, to copy or keep in your contacts. It stays the same as long as you take part in the folder.

  • Each member has their own

The forwarded e-mail is signed by whoever forwarded it.

  • It works for you only

An e-mail sent to your address from an address that is not one of your account’s is refused, as is one from a member who only has read access to the folder.

  • It closes

When you leave the folder, and opens again if you come back.

A forwarded e-mail becomes an internal note

The e-mail arrives in the folder’s thread as an internal note: only the team reads it.

  • At the top of the note

“E-mail forwarded by Claire — from: Maître Roux”, with the e-mail’s subject and date.

  • The text

What you wrote above it, then the forwarded e-mail.

  • The attachments

Are filed in the note, as documents of the folder.

  • The original e-mail

Stays readable by the team, as it arrived.

Share it with the participants in one click

On the note, “Share with the participants” makes it a publication the whole folder reads, dated when it is shared. The participants are told as of a new publication.

The confirmation window offers “Leave out the quoted messages”: the earlier exchanges quoted under the e-mail are then not published. The team keeps the whole original e-mail.

The sender’s address and the original e-mail stay with the team: the participants read a publication from you, with the sender’s name.

The same e-mail, forwarded twice

If you forward the same e-mail twice into the folder (same sender, same subject, same date, same words) while the first note is still there, the second is not added. Kolinea writes to you that you already forwarded it, with the date of the first forward: there is nothing to redo, the note is still in the folder. To add a word, write it as a comment under that note.

A mailbox that does not prove the sending

Some mailboxes lose, when forwarding, what proves an e-mail really comes from you. You then receive a confirmation link at your own address; the e-mail enters the folder as soon as you follow it.

When all goes well, Kolinea does not write to you: the note is in the folder. It only writes if a file is refused or the forward did not go through, with the reason.

Frequently asked questions

  • Does Kolinea read my mailbox?

No. Only the e-mail you forward, one at a time, enters the folder.

  • Does the client see the forwarded e-mail?

Not until you share it. Once shared, they read its text, its attachments and the sender’s name, never their address.

  • What happens in a closed folder?

The e-mail is refused, and you are told.
