You already ask an assistant to reword a message or tidy a list. To talk to it about your folders, you used to have to copy what they contain into it, then copy its answer back into Kolinea. The AI assistant for client folders removes that back and forth: you connect your own assistant to your account, it reads your folders and prepares publications, and you publish them from Kolinea.
How do you connect your AI assistant to Kolinea?
Connecting takes three steps, with no key to copy. You paste the Kolinea server address into your assistant, you sign in to Kolinea, then you click “Authorize”. The connection then appears in your settings, on the “AI assistant” page. For an assistant that cannot sign in, a personal key created by hand remains possible from the same page.
You keep the assistant you already use: Claude, in claude.ai and Claude Desktop, through a custom connector; ChatGPT, through a developer-mode connector, depending on your ChatGPT plan; Claude Code, by pasting the same address; Cursor and VS Code, with an install button on the “AI assistant” page.
What does the assistant read in your folders?
It reads what you read, no more and no less. That includes your folders, with their threads (your team’s internal notes included), the list of their documents and their participants. It also reads your contacts directory, your folder templates and what is waiting on you: the folders where an action is expected, and what is coming in the next 14 days.
It acts in the workspace you are in when you ask, and it sees no folder where you take no part. It does not read the files themselves: it knows their name, type and size.
What can you ask it?
You talk to it in your own words, and it answers from your folders.
- “What is waiting on me today?”: it lists the folders where an action is expected, with the deadlines of the next 14 days.
- “Give me the status of the Durand folder”: it reads the thread and says what is decided, what is waiting and the next deadlines.
- “Prepare a document request for the Durands: bank details and tax notice by Friday”: the request appears in the folder’s planned publications, ready to review.
- “Chase what is late”: it prepares reminders and sends none.
Kolinea also provides three ready-made instructions: “Prepare my day”, “Chase what is late” and “Get a folder’s status”.
What does the assistant prepare, and who publishes?
It prepares publications: a request, a document request, an appointment proposal, a choice decision, a checklist, a milestone. Each one waits in the folder’s planned publications, marked “Prepared by” followed by your first name and “’s assistant”. You correct it if needed, then publish it from Kolinea, or discard it. It can also open an empty folder: nobody is notified and no client is added to it.
Until a team member has published a prepared publication, the client does not know it exists. The assistant publishes nothing, answers nobody, chases nobody and sends no e-mail.
What are its limits?
The connection gives the assistant your rights in Kolinea, nothing more. It does not upload documents, delete folders, change plans or manage your team. It does not leave comments under your name either: a comment speaks in the folder at once, so it is written in the app.
Everything it does is recorded in the audit log, in the form “Claire Martin (via her assistant)”. You can cut off access at any time from the “AI assistant” page of your settings: the assistant loses its access immediately.
Where does your folders’ data go?
Kolinea runs no artificial intelligence model and has no AI sub-processor. When you connect your assistant, the content of the folders it reads reaches only the provider of the assistant you chose, under its terms and on your responsibility. Choose it as you would choose any tool you trust with your clients’ exchanges. The Security page says so too.
Is it included in your plan?
The AI assistant is part of the Premium plan. Every new workspace gets 2 months of Premium free, with no credit card, then the Free plan. After a return to the Free plan nothing is deleted: the connection stays in place, but Kolinea refuses it until Premium is active again, and the publications already prepared stay in the folder.
