The Kolinea changelog for October 12, 2026 comes down to two changes first. A client can open a folder for their professional, and that professional reads the real folder, live, before taking it over. And every e-mail now says in its subject what is waiting for you, instead of a generic heading.

What happens when a client opens the folder for their professional?

The client decides when the link goes out. The professional’s address entered at creation is kept, but nothing is sent automatically. The folder opens on « Send the link », one click, or « Other ways »: copy the link, WhatsApp, text message, their own mailbox or the phone’s share sheet. The e-mail carrying the link makes clear that taking the folder over costs nothing. The whole journey is told in send your documents to your professional, even if they do not use Kolinea.

The professional who opens that link sees the folder itself, read-only, with a card to take it over. If the link was not meant for them, they say so: the link stops working and the client is asked to check the address. In the folder list, a folder still waiting names its professional and says where the link stands: to send, sent, opened or declined, and when. Before the take-over, the client can also fill in the folder’s custom fields when their plan allows it; their field groups move with the folder to the professional.

What can your clients and participants do on their side?

A client with full access can bring in their spouse or a relative themselves. From the folder’s people, they give the person’s name, e-mail address and role, and can leave a note for the person in charge. That person lets them in from a single dialog, with full or limited access, or declines; a workspace can also allow direct invitations in its « Security » settings. Both access levels are described on the page about participants and team in a folder.

Each person’s card says in one line what they can see and how many requests are waiting on them; one click on that count opens the first. Every card can be downloaded or shared as a .vcf file. Everyone also keeps « My card »: their name and contact details, entered once, shown to the workspaces they pick, and withdrawn whenever they like. A contact’s picture is looked up on Gravatar or Libravatar from their e-mail address, unless their account has turned those services down.

A client who is a member of a Kolinea workspace can use that workspace’s templates when writing in a folder where they are the client. The template shows what is left to fill in and what it leaves out. To prepare your own recurring folders, see folder templates.

What do the e-mails say now?

Every subject line says what is waiting, who wrote or what changed. The reminder names the person and the request (« Claire Martin is waiting for your answer: « … » », « Last day for « … » », « Overdue: « … » »), and its button becomes « Answer the request ». Requests, documents and approvals are laid out as rows with their due dates, under a single help line. These are also the e-mails your automatic reminders send, and they stop as soon as the request is dealt with.

When a folder is closed, every participant with access gets an e-mail: the folder stays readable, read-only, for as long as the professional’s workspace exists (see closing and archiving). Where the workspace ends limited participants’ access at closing, the e-mail tells them so. Nothing goes to the person who closed the folder, and nothing on reopening.

The sign-in code offers to create an account when the address has none yet, and explains why it arrived. An account set up for someone tells them so at their first sign-in, and says who set it up.

How do you find what is waiting for you in the thread?

The thread can now be filtered by who has to act: « Yours to handle », « Waiting on contacts » or « Overdue », counted the same way as the waiting view in the side panel. A shortcut narrows the thread and brings the first thing to act on into view. Changes to a folder (admissions, invitations, access, pictures, each step of a take-over) now show up in tabs already open on it, without reloading the page.

The first time you open a folder, a guided tour walks through the screen, from the team’s side or the contact’s. It plays once and can be replayed from the « … » menu. « First steps » ticks off three gestures as you use the folder: add a client or participant, post a first message, add a resource.

Decisions, appointments and calendar: what changed?

Short options in a choice decision (« Yes », « Tuesday ») stay on one line; as soon as one option is a phrase, they stack. An empty or duplicate option gets its own error message.

An appointment can carry a title (« Handover of the works »); without one, its place names it. The « Add » menu explains each type in one line, and the templates menu says what each template asks for. A place’s map now enlarges in a centred window, and « Open with… », at the top right of the thumbnail, takes you straight to directions.

The workspace calendar, a Premium feature, becomes personal: each owner or admin has their own address, which stops working if they leave the workspace or lose the role. A « Proposed slots » option adds slots still awaiting an answer as tentative events, on your side only.

What changed on a phone?

A new post opens as a sheet over the dimmed page. Drag its handle down or tap the page behind to close it: the draft is kept, and the page no longer scrolls under the keyboard. Messages, the help button and the « ↑ » arrow sit above the writing bar, and no empty second bar is left on screen. In the thread, faces and the « … » menu stay level with their author, and the breadcrumb fits on one line.

What changed in settings and plans?

When a Premium feature is refused (templates, custom fields, statistics), a short animated preview shows what it brings. On the Templates page, the « New » button stays put, marked with the plan, and opens that preview. The seat counter explains that pending invitations count. When creating a folder, « For me » or « For someone else » is picked from two cards, and each step puts the cursor in its first field. Last, messages, comments, document requests, templates and voice notes share the same file limits: the browser refuses a file that is too large or unsupported before uploading it.

Small fixes

  • The app says « workspace » everywhere, no longer « organisation » or « company ».
  • A draft you emptied by hand no longer comes back on the next load.
  • The publish menu reads « Publish the message as… ».
  • In Gmail’s dark mode, the main button of every e-mail keeps its colour and white label.
  • A reminder sent to a French client no longer slips into English when the professional was not named.
  • Subscription e-mails say the Free plan keeps 2 active folders.

Every change is dated and detailed on the Kolinea changelog page.
