"My clients will never create an account"
This is the first objection professionals raise, and it is a fair one: nobody wants to invent a password to upload three documents, or to dig it up again six weeks later.
In Kolinea, the client has no account to create to get into a folder. There is no password either.
One link, one code, and they are in the folder
- You invite the person from the folder's list of participants, with their email address. Each person has their own link, sent to them by email.
- They open the link. On a device they have never used, a one-time code is emailed to them, valid for 10 minutes. They type it in.
- They see what concerns them and act: reply, upload a document, pick a time slot.
- The device is then remembered, so the client types nothing on the next visit. How long a device stays remembered is set by your workspace, in its security settings.
Two clients on the same folder do not necessarily see the same things, and every action carries the name of the person who took it. You also see whether the client has opened their link, and when.
A client with no email address: the single-use link
Some clients can only be reached by phone. From the contact's card, you create a link that opens once, within 24 hours, with a six-digit code. You send the link by text message or chat, and you give the code separately, over the phone or in person: in the same message as the link, the code would protect nothing.
A device opened this way stays remembered for 90 days at most, only for the folders of your workspace, and it cannot be used to create an account. Two such links can wait at the same time for a given contact; beyond that, you cancel one to create another. You are notified when the link is opened, or when too many wrong codes have made it unusable.
The account, if the client wants one
A client followed by several professionals is recognised by their email address: one confirmed device opens everything shared with them, and a "My folders" page gathers it all. If they wish, they create a passwordless account in one click, which attaches all their folders, past and future. Nothing forces them to, and the link always works.
In practice
- Accounting and law firms. Two executives follow the same folder. Each replies from their own link, and every reply carries their name. A client you only have a mobile number for gets in through a single-use link.
- Real estate, brokerage, wealth management. The two buyers, the broker and the notary (notaire) each have their own link and access, full or limited depending on what you choose when adding them.
What it does not do
- The link is personal: passing it on is not enough, since the code goes to the client's mailbox. On a device that is already remembered, though, no code is asked for again.
- You withdraw a contact's access in one click. They no longer see the folder on their next request; they stay on the folder, and you can invite them again with a new link. Their other folders are untouched.
- Withdrawing access does not wipe their device: only a single-use link can be disconnected device by device.
