Onboarding moves at the pace of the missing document
A new client signs, and the onboarding folder stays open for weeks. You are waiting for the proof of address, a complete tax assessment (avis d’imposition), a legible bank detail slip, the client questionnaire returned with no blank box. As long as something is missing, you cannot go further.
What you ask for by email comes back in pieces: an attachment here, a photo there, an expired document that forces you to start over. The client does not know what is holding things up, and you keep the list in your head or in a spreadsheet.
One line per document, from the same request
You name what you expect: ID, proof of address, latest tax assessment, bank details, completed client questionnaire, and whatever your practice adds. Each line can carry an instruction, such as "less than three months old" or "both sides". The whole shares one deadline.
Your client opens the folder link, with no account to create, and uploads each file against the document requested, from their phone. Each file lands on its own line, not in a shared pile where everything gets mixed up.
Accept, or refuse and say why
You examine each document. You accept it, or refuse it with the reason: "tax assessment incomplete, the second page is missing", "proof of address more than three months old". The client reads the reason and starts again on that line only, without sending the rest again.
The request closes itself when the last document is accepted. If it is closed, the list is complete: you no longer have to check by hand before moving on to the advice. Automatic reminders take care of the delays (two days before the due date, on the day, the day after, then seven days later) and stop at acceptance.
Sensitive documents, treated as such
IDs, tax assessments, statements: you can publish them as confidential, so that the firm and the named client read them, and not a notary (notaire) or an accountant added to the folder as a participant, unless you name them.
The engagement letter, alongside
The engagement letter is not a document the client sends you: it is one you submit to them. It follows another path, the sign-off, dated and named, which you find again in the same folder.
The list stays yours
