One engagement, the same every year
A year-end does not change shape from one financial year to the next. The same documents to gather, the stock count, then the approval of the accounts before they are filed. Only the figures, the dates and sometimes the client change.
Yet next year's folder is often born from a copy of this year's. Someone opens the old one, copies it across, corrects the dates, and the forgotten document slips in right there, on the folder a junior put together late on a Thursday. The engagement recurs, but the preparation starts from scratch.
One template per type of engagement
A folder template records the engagement once, in the order it unfolds. The catalogue carries two for a practice, one per type of engagement:
- New client: a welcome message, the onboarding documents (the director's identity document, a Kbis extract less than three months old, up-to-date articles of association, bank details) and a discovery questionnaire.
- Annual year-end: the year-end documents, the stock count at 31 December with its checklist, then the approval of the annual accounts as a sign-off.
When you create a folder, you pick the template and each step unfolds with its text and its deadline. Deadlines are counted from the day you apply the template, so no date from the previous year is left in a request sent to the client.
What replays every year
The "Annual year-end" template gives fifteen days for the documents and the stock count, and seven days for the approval of the accounts. You open each client's folder from the same template, and next year starts from that template again, not from last year's folder.
The client never sees the template. They receive clear requests at the planned moment, and the preparation stays on your side. A template can also be shared: a junior opening their first year-end opens exactly your steps, without asking how it is done here.
Adapting them to your practice
On the Free plan, templates imported from the catalogue are frozen: you use them as they are. With Premium, you edit them, add a step of your own (a meeting to present the accounts, say) or create a template for another engagement, and it then serves every client folder.
