Your folders’ dates in Outlook
What you do from Outlook
See your folders’ confirmed appointments, with their place when it was shared
See your requests’ due dates and your folders’ milestones
Keep, if you tick it, the slots still offered to a client: Outlook shows them as tentative, marked ⏳
Choose one calendar for all your folders, or one calendar per folder
Find every new folder in the shared calendar, across all your workspaces
Connecting Outlook, step by step
From a folder or your account settings, click Outlook.
Outlook on the web opens and asks you to confirm adding the calendar. If the button does not lead to your Outlook, copy the address offered in the same place and add it as a subscribed calendar.
In Kolinea, keep the dates to show: confirmed appointments, request due dates, milestones.
An Outlook calendar that follows your folders
Appointments are in Outlook, due dates in your folders, and dates get lost in between. Copying every appointment and every expected document takes time, and a date moved the wrong way goes unnoticed.
With Outlook connected, Kolinea keeps the calendar up to date: a date that moves in a folder moves in Outlook, with nothing to re-import. The place shared in the folder shows with the appointment. In the sync settings, you keep only the dates you need: a crowded calendar is a calendar nobody reads.
Offered slots, never booked twice
When you offer a client several slots, you can keep them in your calendar until they have chosen. Outlook shows them as tentative, and their title carries ⏳. You do not give the same hour twice while your client chooses. Once they have chosen, the appointment stays and the other slots go.
In practice
- Real estate. Viewings and signing appointments from all your folders show up in one place, with their location.
- Law and accounting firms. Each folder has its own calendar: the due date of an expected document and the conciliation meeting appear side by side, in the calendar the team already uses.
For the whole team and for your clients
Everyone in a folder syncs their own dates, clients included, and only receives what they read themselves: a confidential publication they do not read does not appear in their calendar, and access removed cuts the dates.
With Premium, an owner or administrator can also create an address for the whole workspace: the confirmed appointments of every folder, each titled with its folder, to add to the team’s shared calendar. The address stops working if its holder leaves the workspace. How it all works is described on the Calendar subscription page.
What the integration does not do
It is read-only: Outlook receives Kolinea’s dates, and Kolinea neither writes to your calendar nor reads your availability.
Outlook rereads the calendar at its own pace: it, not Kolinea, decides when a change appears.
The ⏳ slots are a reminder: they do not block your availability for someone looking for a free slot.
A closed folder keeps its milestones and appointments, but no longer its due dates, and the history goes back six months.
Anyone who holds the calendar’s address reads these dates: keep it to yourself, or change it.

No. Outlook subscribes to a secret address in the iCalendar format, which Kolinea keeps up to date. Kolinea does not connect to your Microsoft account.
Kolinea watches for Outlook’s first read, which usually comes a few seconds after you confirm, then shows “Synced” with the time of the last read.
Yes. Anyone in a folder, clients included, can sync that folder’s dates from the folder itself. Each person only receives what they read themselves.
Delete it in Kolinea: Outlook receives nothing more. Remove the calendar from Outlook too, to clear the dates it already received.
