Start every new folder without rewriting everything
Today, without Kolinea
Every folder rebuilt by hand
Every new folder is rebuilt by hand, copying the last one and hoping nothing was missed
A new client arrives and their folder is built like the last one: same requests, same order, same welcome message. Yet it gets rebuilt by hand every time.
-
Copying
You copy an old folder and hope nothing was missed, or dig the document list out of an email sent to another client.
-
Welcome message
You type it out once more, correcting the first name left over from the previous folder.
-
Due dates
Roughly the same from one folder to the next, and worked out in your head each time.
-
Memory
In a team, everyone has their own version of the list, and the gap only shows when a document is missing.
With Kolinea, in a few steps
Start from your trade's template
The catalogue offers folder templates by trade. You browse them, then import a clean copy into your workspace and read it through before using it. Rewriting it your way needs Premium.
With Folder templatesSave your recurring messages
With Premium, a message you rewrite from one folder to the next can be saved as a template from the composer, with its text, its requests and its attached files. Variables such as the folder's subject or the people involved pick up each folder's values.
With Write a requestPick the template when creating the folder
When you create the folder, you choose the template, then keep or drop each of its items with a tick. The ones you keep wait for your team, visible to the team only.
With Folder templatesPrepare each item when its turn comes
“Prepare” fills the composer with the folder's values at that moment, including any clients added since. Due dates are counted again from the day you use the template, and nothing goes out until you publish.

Your questions about this case
No. The template prepares, you publish: nothing goes out until you decide.
It stores a sequence of items: document requests, decisions, sign-offs and checklists, with their due dates as a number of days. It keeps no appointment, milestone or place, and none of the people named: you choose the recipients when you publish.
No. Editing a template does not change what has already been prepared or published in a folder.
Yes. Catalogue templates can be imported and used on the Free plan, but not edited there.
