I’m on it

“I’m on it”: the client says where things stand, reminders wait

The recipient says they are on it and by when: reminders wait. Past the due date, it is a request for more time, which you accept or not.

Chasing someone who is already on it

The client has seen the request. They are waiting for a letter from their bank, or they know they cannot get to it before the end of the month. Nothing in the folder says so: the reminder goes out anyway, then a second one, and they end up writing to you on the side to explain they have not forgotten.

On your side, the request stays "overdue" and you cannot tell whether it is forgotten or on its way.

They say it on the card, with a date

On the card of a request or a document request, the person it is addressed to taps "I’m on it".

  • A date, if they want

"Expected on" is optional. With a date, automatic reminders wait until then. Without one, the request is marked as being handled, and reminders carry on.

  • A word for the team

Optional too, for instance "I am waiting for a document on my side".

  • What everyone reads

On the card, "Claire Martin is on it, expected on 14 November", and in place of the next reminder, "Automatic reminders paused: they resume after 14 Nov".

  • A new declaration replaces the last one

The person can change their date or their word.

  • The activity summary

Tells the folder’s other readers ("Being handled").

Past the due date, it is a request for more time

When the date given falls after the request’s due date, it is no longer just an indication: it is a request for more time, and the screen tells the person so before they send it ("After 10 November, it is a request for more time, which Julie Moreau accepts or not").

  • Only the request’s author answers

From the card or from the Cockpit, where the request for more time shows up as a point to handle.

  • Accept the delay

The due date moves to the day asked, and reminders wait until then.

  • Refuse

The due date stays, and reminders take up again.

  • The person who asked knows

Their activity summary says "More time granted" or "More time refused", and the folder’s history keeps who asked for what delay, and the answer.

What it does not do

The date is chosen from today, and at the latest a year after the due date. The recipient never moves the due date themselves: without your agreement, it stays the one you set. The declaration exists only on requests and document requests still pending, not on a sign-off, a decision or an appointment.
