The folder's key steps, dated and confirmed
A key step gets lost in the thread
“Watertight”, “preliminary contract signed”, “file submitted”: these steps give shape to a folder that runs for months, and yet they drown between two messages. A few weeks later, nobody remembers whether the step happened, when, or who noted it.
A milestone gives each step a date and a state, visible to everyone in one place.
A planned date, then a step reached
From the composer, in the “Plan” group next to the appointment and the place, you choose “Mark a step”.
-
What you enter
A title, a planned date and, if you wish, a short description of 500 characters at most. The date is a day, with no time.
-
Who confirms it
The step goes from “planned” to “reached” in one click, by the person who set it (a client included) or by any member of the team. A milestone is confirmed only once, while the folder is open.
-
The record
Once reached, the card shows the date and the name of the person who marked it, and the thread repeats it in one line (“Claire validated the step…”).
-
No recipient, no reminder
A milestone waits on no one. So it chases no one.
Never “late”, only “to confirm”
When the planned date has passed without confirmation, the milestone is not late: nobody owed anything. Its message changes, depending on who reads it.
- For whoever can confirm it, it becomes “to confirm”, in a warning colour, with the button made prominent. It also joins the folder’s “To do” list, under the name “Confirm the step”.
- For everyone else, it is a plain “planned for… · not confirmed yet”, with no reproach and no urgency.
Readable by everyone, even a contact with limited access
A contact with limited access only sees what names or mentions them, and the milestones. A post that carries nothing but milestones is therefore read by every contact in the folder. An internal note stays reserved for the team, and a confidential post for those it names or mentions: the milestone changes nothing there.
The milestone then appears wherever the folder shows its dates:
-
The folder’s calendar
(“Calendar & log”) places it on its date, and flags “To confirm” the one that is waiting.
-
Progress
A bar reads “2/5 milestones reached” (for example) and unfolds into the list of steps.
-
The calendar subscription
Milestones are among the event types on offer, with confirmed appointments and due dates, and you can remove the type if you do not want it. In the calendar, the event carries a flag, the title and the folder’s name. A closed folder keeps its milestones in the calendar, but no longer its due dates.
A milestone can also go into a template: its date is then kept as a number of days from the day it was saved, and counted again from the day the template is used.
In practice
Building, renovation. You set “Watertight” on the date in the schedule. The client, who should not have to guess where the site stands, sees the step in the thread and in the progress bar. When the day comes, you or a colleague confirm it, and the folder keeps the actual date.
Real estate, brokerage. “Preliminary contract signed” is set by the professional with its planned date. If the date passes without anyone marking it, the milestone turns “to confirm” for the team, and the seller reads “not confirmed yet”, not a “late” that is not one.
What it does not do
-
There is no chasing.
No reminder is sent, before the date or after: a milestone has no deadline for an answer.
-
It is not a schedule.
A milestone is a single date, with a title and a short description; it has no duration and no dependency on another.
-
The client does not confirm in the team’s place.
They can only mark reached the milestone they set themselves.
-
Nothing can be marked after closing.
A closed folder is read-only: a milestone that was waiting stays as it is until the folder is reopened.
