Send documents, grouped under their names
A document request, the other way round
A document request lists what your client has to hand you. Documents sent do the opposite: you list what you send them. The twenty files of a mortgage application no longer land in one post as a heap; they arrive grouped under "Identity", "Income", "Accounts and savings".
How it works
-
Name
In the composer, "+ Add", then "Send documents". You write the name of each document, one line each. An "Ask | Send" switch turns the same list from one direction to the other without typing it again.
-
Publish
The post goes into the thread with its documents still empty. Nobody has anything to do: no due date, no recipient, nothing on your client’s to-do list.
-
Upload
On each line, "Upload" opens the file picker, and a file dropped on the line is sent at once. The line shows its files, who uploaded them and when. While a document still waits for its files, the card reminds your team.
-
Download
Your client downloads one document in a click (a ZIP when it holds several files), or all of them with "Download all" at the top of the card, filed in one folder per document.
-
Correct
A document’s "…" menu renames it in place or moves it up and down the list; a file uploaded by mistake can be removed from its line, the document stays. In the composer, documents are reordered by dragging their grip, or with Alt + ↑ and Alt + ↓.
The files sent also join the folder’s library, where the "By document" view groups them with the documents of the same name received on a request.
In practice
Mortgage brokers. Before sending the application to the bank, the broker publishes "Identity", "Income", "Accounts and savings", "Project". They drop each borrower’s last three payslips under "Income" and the bank statements under "Accounts and savings". The borrower sees at a glance what is ready and downloads the whole file, already sorted.
Architects. At handover, the architect sends "As-built plans", "Maintenance manuals", "Warranties": the client keeps an ordered file, one document at a time, instead of a list of twenty PDFs.
What it does not do
-
Have a document approved.
A document sent has no status and no review; to get an approval on a document, use a sign-off.
-
Mix documents sent and documents asked for in one list.
A list goes one way; to give and ask, put two blocks in the same post.
-
Notify on every upload.
Your client is told about the post; files added afterwards appear in the thread without a new e-mail.
