Slots proposed, one slot chosen
The appointment is proposed from the folder, with several slots at once. The other party picks one or asks for others, and the confirmation reaches them with the calendar invitation.
- In the folder's composer, you add an appointment proposal. You give one to five slots (date, time, duration), and you can type "Thursday 2pm" or "tomorrow 9:30" instead of going through the calendar.
- You choose the place: on site, video call or phone. On site, the address is picked from suggestions and shown on a map, or written in a few words ("on the site"). For video, you paste a link; your usual room can be saved in your account and is offered by default on your next appointments.
- Your client receives the proposal and picks a slot, or asks for other proposals with a message saying what does not work.
- As soon as a slot is picked, the appointment is confirmed for everyone. From then on it can only be cancelled.
If the client asks for other slots, you publish a new proposal. The old one stays visible with its status, and the exchange stays in the folder rather than in a mailbox.
In everyone's calendar
On confirmation, the appointment goes out with an invitation file (.ics) attached to the activity summary of the readers who have not yet seen it. The confirmed card also carries an "Add to my calendar" button. An appointment that was confirmed and then cancelled is announced the same way, with the invitation that removes it from the calendar.
Confirmed appointments also join the calendar subscription, with nothing to import by hand.
In practice
- Real estate, brokerage, wealth management. A viewing is offered on site, with the exact address, and the signing appointment at the notary's (notaire) office is offered the same way. The waiting view shows who has not replied yet.
- Law and accounting firms. The signing or year-end meeting is set by video: one link, three slots, a client who replies from their phone.
What it does not do
- Kolinea does not read your availability: you offer the slots, it does not deduce them from your calendar. Reading your availability and writing directly into your calendar are not delivered.
- An appointment is offered to people in the folder. Kolinea has no booking page open to any visitor.
- A confirmed appointment cannot be moved: it is cancelled, then you offer a new one.
- Suggested addresses are French addresses; for a place abroad, write it as free text.
