What moves, and where it sticks

A folder moves faster than before, you can feel it, but you cannot say it. And since you cannot say it, you do not know where it still sticks: with which kind of counterpart, on which kind of request, with which member of the team.

The spreadsheet that would answer that needs keeping up to date. Nobody keeps it up to date.

Who it is for, and who it is not

For a solo practitioner following a handful of folders, this page adds little: they already see, folder by folder, what is waiting and what is overdue. It is a steering tool for a small team, where the person in charge no longer reads every folder and has to spread the load, spot slow counterparts and check that a working habit is taking hold. The page is kept to the workspace's owners and administrators, and is part of Premium. With the Free plan, it only presents what Premium adds.

Figures that come from the folders

Nothing is entered. Every figure is computed from what actually happened: a request sent, a reply received, a deadline met or missed. You choose the window, three, six or twelve months: week by week over three months, month by month beyond. Example folders are left out.

The page shows:

  • folders opened and closed over the period
  • the median reply time of participants, from the request to its first reply, shown only from three replies on
  • deadlines met: among the team's requests whose deadline has passed, those completed by the due date at the latest
  • automatic reminders sent
  • the load per manager: active folders and open requests
  • resources published, by type
  • team activity: members' actions, active members, the most active

The Waiting view says what is blocking today. The statistics say whether it keeps blocking in the same place. A load concentrating on a single manager, or deadlines met slipping month after month, show up here before they show in a folder.

In practice

Building and renovation. A firm with several site managers compares each one's load, and sees whether deadlines met are improving from one month to the next.

Law and accounting firms. The firm's management follows participants' reply times and the deadlines met from one quarter to the next, without opening the folders.

What it does not do

They are numbers, delays and the team's names. Never a folder title, never the content of a document or a message: statistics are not there to read over someone's shoulder. A deadline that was never set is not counted, since there is nothing to meet, and no figure comes from an estimate: if the event did not happen, it is not guessed.
