A calendar cut off from your folders is only half useful

Appointments are on one side, deadlines on the other. You copy the former, forget the latter, and find out on Monday morning that a document was due on Friday. Copying by hand is tedious, and it is the most ordinary source of error: a date moved the wrong way goes unnoticed.

The calendar updates itself

You connect your calendar once, through a secret address in the iCalendar format. Google Calendar, Outlook and Apple Calendar all read it. From then on the calendar updates itself: a date that moves in a folder moves in your calendar, with nothing to re-import.

The pace is your calendar's, not Kolinea's: at Google, an update can take a few hours.

To do once

  1. In your account settings, you create the calendar address. The Google, Outlook and Apple buttons pass it to the chosen service, or you copy the address into another calendar.
  2. You tick the dates to show: confirmed appointments, request due dates, milestones. A crowded calendar is a calendar nobody reads.
  3. That is all. The dates of all your folders arrive there, across every company if you work in several workspaces.

The address stays under your control: you can change it at any time (the old one stops updating) or remove it, and your calendar then deletes these dates at its next sync. Keep it to yourself: anyone who holds it reads these dates.

In practice

  • Real estate. The viewings and signing appointments of all your folders show up in one place, with their location.
  • Law and accounting firms. Each folder has its own calendar: the due date of an expected document and the conciliation meeting appear side by side, in the calendar the team already checks.

For your clients, and for the team

Anyone on a folder, client included, can add that folder's dates to their calendar from its own calendar ("Calendar & log"). Each person only receives what they can read in the folder themselves: a confidential publication they cannot read does not appear in their calendar, and withdrawn access cuts the dates.

For management or the front desk, an owner or administrator can also create, with Premium, one address for the whole workspace: the confirmed appointments of every folder, each titled with the folder and its lead. The location and the video link appear only if you add them, and a confidential publication never does. The workspace's log records when this address is read, at most once an hour.

What it does not do

  • It is read-only: the calendar receives Kolinea's dates, and Kolinea neither writes into your calendar nor reads your availability.
  • A closed folder keeps its milestones and appointments, but no longer its due dates.
  • History goes back six months.

The dates mostly come from appointment booking and automatic reminders. Sharing a location adds the address that will show up in the calendar.
