# Following whole-house renovation files with your households

> Household documents, the works plan, contractors’ quotes: everyone sees what is expected of them, and you know which quote is missing before applying.

## The grant file is always waiting for one last quote

As a Mon Accompagnateur Rénov’ adviser, you support each household for months. After the energy audit, the household chooses a works scenario and consults contractors; then their documents and the quotes have to be gathered before the grant application goes in. The tax assessment arrives by email, the property tax notice as a photo on WhatsApp, an insulation quote as an attachment the household forwards to you three weeks later.

The heating engineer promises his quote for next week, then for the week after. The household thinks everything has been sent, you are still waiting for a document, and nobody knows who should be chasing whom.

## The household, its contractors and your requests in one folder

The household opens the folder through a link, with no account, from their phone, and can write to you when a question comes up. A contractor you add with limited access enters through their own link and reads only what names them: the quote request addressed to them, not the household’s tax assessment. The household’s documents are published as confidential: your team and the people you name can read them, and nobody else.

The “Whole-house renovation” template prepares five steps:

- **Support contract**: submitted for sign-off at the start of the engagement, accepted by the household with the date and their name.
- **Household documents**: a document request with one line per document (identity document, tax assessment, proof of ownership, energy bills), each accepted or refused with the reason ([document requests, in detail](/en/features/document-requests)).
- **Choosing the works scenario**: a choice between the scenarios in the audit. The household decides in the folder and their answer stays dated.
- **Contractors’ quotes**: a document request with one line per package of works and one for the firms’ RGE certificates. You address it to the household or straight to the contractor.
- **Before the application goes in**: a checklist the household ticks off (account created on the grant application website, works summary read, name and address checked on every quote).

Kolinea does not file the grant application and calculates no amount: it gathers what is needed to file it and keeps a record of who sent what.

## You know who still has to act

The “Waiting” view of each folder separates what you have to deal with (a document to check, a question from the household) from what you are waiting for from others, overdue items first ([the “Waiting” view](/en/features/the-waiting-view)). Reminders go out two days before the due date, on the day, the day after, then seven days later, to the household and to the contractor alike, and stop as soon as the document is uploaded (the article [chasing a client who does not send their documents](/en/articles/chase-client-missing-documents)).

Until the final payment, you add the folder’s milestones: application filed, works started, end-of-works visit. Once the folder is closed, the household and you can find the audit, the quotes and every dated decision, for as long as your workspace exists.
