# Tracking a property search with your buyers

> From search mandate to preliminary agreement: properties offered as a choice, viewings booked remotely, the area shared without the address, offers approved.

## Your buyers are far away, and the right properties go fast

A couple asks you to find them a three-room flat (T3) in Bordeaux. They still live in Lille, have signed your search mandate (mandat de recherche) and count on you to see properties before anyone else.

You send three listings by email. One of them answers on WhatsApp, the other by text, and you no longer know which ones they want to view. Then you have to find a Saturday that suits everyone, place the neighbourhood without giving away the address the seller's agency entrusted to you, and agree on the amount of the offer. When the seller answers, you go looking for who said yes to what.

## The mandate, the properties and the offer in one folder

Your buyers open the folder through their own link, with no account, from home. Each answers for themselves, asks a question about a property or uploads a document without waiting for you to chase them. You open the folder from the “Search mandate” template and share it with your associate, who handles the second viewings.

- **Mandate documents**: identity documents, proof of address, the bank's agreement in principle, with one line and one status per document.
- **Properties presented**: each shortlist arrives as a choice, one option per property. Your buyers tick the ones they want to view, and their choice stays dated, in their name.
- **Viewings**: slots offered in person or by video call; the buyer picks one, and the calendar invitation goes out on confirmation. A checklist reminds them what to bring on the day.
- **Property area**: with an approximate location, the map shows only the postcode, the town and a circle of 100 m to 1 km around the property. The exact address stays encrypted and is not shown to the folder's readers; you give it once the viewing is booked.
- **Offer**: the amount settled as a choice, then the offer submitted to your buyers for sign-off, with the date and the name of each of them.

The purchase offer and the preliminary sale agreement (compromis) are signed outside the folder: a sign-off is a simple approval, not a qualified electronic signature.

## Properties presented, choices on record

Reminders go out to your buyers on their own: two days before the due date, on the day, the day after, then seven days later. You add milestones to the folder: mandate signed, offer sent, seller's answer, compromis.

Once the compromis is signed, you close the folder. If one of them comes back to a property they turned down or to the amount offered, the dated answer is in the closed folder, available to you and to them for as long as your workspace exists.
