# Pool builds: quotes and choices approved by your clients

> A quote accepted on the phone, a lining chosen on WhatsApp: keep a record of every approval, from the planning declaration to filling the pool.

## “We said sand, not grey”: the pool decided by text message

A pool is decided long before it is filled. The quote goes out by email, the lining is chosen from a photo of a sample sent on WhatsApp, the position of the plant room changes over the phone. Meanwhile, the documents for the planning declaration keep you waiting: the promised cadastral plan, the photos of the plot, the estate’s rules.

Then the excavation has to be booked. Three texts to find a date, two partners each answering on their own, and a mini digger booked for a day nobody confirmed.

## One pool, one folder: the quote, the declaration, the choices

Your clients open the folder through a link, with no account, from their phone. They upload the documents you ask for, or ask whether the plant room could move. Your site manager works in the same folder, opened from the “Concrete pool” template.

- **Quote**: you attach the quote, and each of the two partners accepts or declines it in a sign-off, with the date and their name. Kolinea does not price or invoice: it keeps the record of the approval ([sign-off in detail](/en/features/sign-off)).
- **Planning declaration documents**: cadastral plan, photos of the plot, the estate’s rules, each with a due date; you accept each document, or decline it with the reason.
- **Lining and coping**: a choice decision, with photos of the samples; the couple decides in the folder and the answer is dated ([choice decisions](/en/features/choice-decisions)).
- **Excavation**: a “Before excavation” checklist (access for the mini digger, buried pipes and cables), then slots offered to set out the pool together; the client picks one and receives the calendar invitation ([appointments](/en/features/appointments)).

A sign-off is a simple approval, not a qualified electronic signature.

## From quote to filling, everyone knows where the build stands

Each request has a recipient and a due date. Reminders go out two days before the due date, on the day, the day after, then seven days later, and stop as soon as the client answers. You add milestones to the folder: declaration filed, excavation, filling the pool.

When the build is finished, you close the folder. The couple and you will find the accepted quote, the chosen lining and the date of each stage there, for as long as your workspace exists.
