# Each workspace and each folder chooses what the thread offers

> Reactions, comments, “Seen by”, voice notes, reminders: set what each folder offers, for the whole workspace or folder by folder.

## One thread does not suit every folder

A firm may not want voice notes in its folders, a renovation company may want to see who has read its quote, and another professional may find reminders too insistent for some clients.

## Seven options, on by default

Besides publications, every folder offers seven options. All are on by default.

- **Reactions**: react to a publication or a comment with an emoji. Switched off, the reactions already left are no longer shown.
- **Comments**: comment on publications, including internally for the team. Switched off, nobody can write one, internal notes included, and existing comments stay readable.
- **“Seen by”**: show who has read a publication, a comment or opened a file. Switched off, no reading is recorded any more.
- **Voice notes**: record a voice message in a publication or a comment. Switched off, recording is refused with a message that explains why.
- **“… is writing”**: show live that a participant is writing.
- **Automatic reminders**: automatically remind participants before and after a request’s due date. Manual reminders remain possible, see [automatic reminders](/en/features/automatic-reminders).
- **Custom fields**: record structured information on the folder. Switched off, nothing is shown, but the values are kept, see [custom fields](/en/features/custom-fields).

## For the workspace, or for a single folder

Options are set in two places.

- **For the whole workspace**, in the workspace settings, “Folders” section: an option switched off there is off in every folder, and no folder can turn it back on. An option left on can still be switched off folder by folder. Only those who manage the workspace settings change them; other members can view them.
- **For one folder**, in its “Edit” sheet, or at the “Options” step of the creation assistant: the folder’s responsible person or an administrator switches off what is not useful here. A folder can only take away: what the workspace switched off stays off, and the sheet says so.

If the workspace turns back on an option that a folder had switched off, that folder keeps its choice.

## The resources offered

Each folder’s composer offers to add requests, decisions, appointments, milestones, places and the other resource types to a publication. In the same settings, the workspace removes those it has no use for, in all its folders, and a folder can remove some for itself. File sharing always remains possible, and a resource already published stays usable.

Two types have starting settings, which apply to every folder of the workspace and which anyone can still adjust when publishing.

- **A place**: the approximate position is not offered, offered (each person chooses to share an area rather than the exact address) or on from the start. The area’s radius starts at 200 m and can be set from 100 m to 1 km, in steps of 100 m.
- **An appointment**: the length of a slot, from 15 minutes to 4 hours (60 minutes by default), and the locations offered among on site, video call and phone. At least one stays offered, and a mode taken out is neither offered nor accepted any more.

## One rule for every folder

The “Folders follow the workspace settings” switch imposes the workspace’s options and resources on every folder, including those you turn on later. Folders then only have their title and description to edit.

Turning it on asks for a confirmation, which says how many folders have their own settings. Those choices are set aside, not erased: they come back if you turn the switch off. Automatic reminders switched off in a folder may resume in the meantime.

## In practice

**Law and accounting firms.** The firm switches off voice notes and reactions for the whole workspace, then turns on “Folders follow the workspace settings”: every folder, old and new, follows the same rule, and no colleague can get around it.

**Construction and renovation.** The company keeps “Seen by” to know who has opened the quote, sets site appointments to on site only, and sets a 200 m area radius for the places it shares without giving the exact address. On a sensitive client’s folder, the responsible person switches off automatic reminders and reminds by hand.

## What it doesn’t do

- E-mail notifications do not depend on these options: everyone sets them for themselves.
- Switching an option off erases no comment and no field value, and a resource already published stays usable; only the reactions already left stop being shown.
- A closed folder can no longer be set up: its options are frozen with it.
- A participant sets nothing.
