# One e-mail sums up what happened, not one per message

> Everyone gets a grouped summary of what is new for them in a folder once activity calms down, and chooses what they want to receive.

## Ten events in ten minutes, one e-mail

A post, three comments, a document uploaded, an appointment confirmed: in a few minutes, a busy folder triggers ten events. One e-mail per event floods the inbox, and everyone ends up ignoring all of them, including what is really waiting for them.

## A summary, sent when activity calms down

The summary goes out once the folder has been quiet for 5 minutes, and at the latest 15 minutes after the first piece of news: a burst gives a single e-mail, and continuous activity never prevents sending. Its content is read again at the moment of sending.

- **What has already been seen is not in it**: a document opened, or everything that predates your last visit to the folder. If nothing is left, no e-mail goes out.
- **Never what you did yourself.**
- **What is waiting for you comes first**, then what mentions you, the answers to your requests, the other posts. Other comments are only counted.
- **Everyone receives only what they are allowed to read**: no internal note for a participant, no confidential post that does not name them, nothing beyond limited access. A closed folder sends nothing more.
- **Confirmed or cancelled appointments** arrive with their .ics file, so the calendar takes them in or strikes them out.

## What each person receives

**A participant** receives one summary per folder, covering everything they can read. If they do not have their link yet, the first post that concerns them sends them the invitation, which counts as the summary.

**A team member** receives a single e-mail for all their folders in the workspace, one section per folder, with the folder where an answer is expected first. A summary never goes back further than 24 hours. The level is set folder by folder, in the « E-mail notifications » menu:

- **The whole folder**: any news they can read. This is the responsible person's default.
- **What concerns me**: a mention, an item addressed to them or awaiting their action, the answer to their request. This is the default for other members.
- **Nothing by e-mail**: in-app notifications remain.

In their account settings, each member can also switch off the e-mails of all their folders at once.

## Unsubscribe in one click, no account needed

Under each summary, the participant finds « Stop receiving summaries of this folder », and their mail client offers one-click unsubscribing. The link does not expire and asks for no sign-in. It does nothing on opening: a page asks for confirmation, then lets them receive the summaries again, and resuming only sends news from then on. Their access link to the folder stays valid, and the responsible person sees « No longer receives summaries » next to their name.

## One-off e-mails

- **Being added to a folder**: a member is told if the person adding them asked for it, a participant receives their link.
- **The invitation request** a participant sends to the responsible person, and the refusal, if any.
- **Closing**: each participant whose link is active learns that the folder is read-only, or that their limited access ends. The team is told in the app.
- **Reminders of a pending request** have their own page: see [Automatic reminders](/en/features/automatic-reminders).

The app's bell also tells the responsible person when a participant opens the folder from a device they had never used, if the workspace kept this alert on (« Security » setting, on by default).

## In practice

**Building and renovation.** The client uploads three photos, the electrician answers a question, you confirm Thursday's visit: the client gets a single e-mail, with the appointment to add to their calendar.

**Firms.** A colleague follows ten folders on « What concerns me »: one e-mail per period of activity, with the folder where an answer is expected at the top.

## What it does not do

- No SMS or WhatsApp: e-mail and the app's bell.
- No weekly digest and no inactivity nudge.
- The per-folder level is for the team only: a participant can only stop the summaries, folder by folder.
- Stopping the summaries does not stop the reminders of a pending request, which remain the professional's tool.
